How to count elements in NetSuite

This article provides a detailed walkthrough for determining the number of records associated with specific types in NetSuite

To calculate the usage-based pricing for Salto, Salto needs to count the number of customization records in your NetSuite account.

The easiest and most accurate way is to sign up for Salto and let Salto do the calculation. This is the recommended option. Learn how

If you want to calculate the number of records before signing up to Salto, ask someone from your NetSuite team to log in to your NetSuite account, and follow these instructions:

Count discrepancies

Exclude the following from your count for an accurate estimate, as Salto doesn't manage them:

  1. Locked Elements

  2. Inactive Elements

  3. Standard Roles

  4. Standard Forms

  5. Private Saved Searches

  6. FileCabinet items under 'Templates/Letter Templates/Mail Merge Folder' (by default, we fetch only the SuiteScripts and Templates folders)

  7. FileCabinet file types: CSV, PDF, EML, PNG, GIF, JPEG, XLS, XLSX, DOC, DOCX, PPT, PPTX

It's important to note that Salto excludes additional elements by default, so the number of records calculated by Salto may be lower than your count.

Custom Form

Sum up the Custom Address, Entry, and Transaction Forms as follows:

Custom Address Form

  1. Navigate to 'Address Forms' by going through the top menu: Customization > Forms > Address Forms.

  2. Sort the table by the 'INTERNAL ID' column, descending.

  3. Out of the forms that have a positive Internal ID, count the forms that have 'Edit' (not 'Customize') value in the 'EDIT' column.

Custom Entry Form

  1. Navigate to 'Entry Forms' by going through the top menu: Customization > Forms > Entry Forms.

  2. Uncheck the 'SHOW INACTIVES' checkbox.

  3. Sort the table by the 'INTERNAL ID' column, descending.

  4. Out of the forms that have a positive Internal ID, count the forms that have 'Edit' (not 'Customize') value in the 'EDIT' column.

Custom Transaction Form

  1. Navigate to 'Transaction Forms' by going through the top menu: Customization > Forms > Transaction Forms.

  2. Uncheck the 'SHOW INACTIVES' checkbox.

  3. Sort the table by the 'INTERNAL ID' column, descending.

  4. Out of the forms that have a positive Internal ID, count the forms that have 'Edit' (not 'Customize') value in the 'EDIT' column.

File Cabinet

  1. Navigate to 'Search' by going through the top menu: Documents > Files > File Cabinet > Search.

  2. Check 'USE ADVANCED SEARCH' checkbox:

  3. Add a Standard 'Folder' Filter:

  4. Add the folders 'SuiteScripts' and 'Templates', click Set, and then Submit:

  5. Count the files that are unlocked (those whose names do not end with πŸ”’). Alternatively, you might find it easier to count the locked files and subtract them from the 'TOTAL' displayed in the top right corner.

  6. From the result of step #5 above, subtract the files under 'Templates/Letter Templates/Mail Merge Folder' (because Salto doesn't manage it), by following these steps:

    1. Repeat steps 1-3

    2. Add the folder 'Mail Merge Folder', click Set, and then Submit

    3. The 'TOTAL' is displayed in the top right corner - those are the files to subtract

Custom Role

  1. Navigate to 'Search' by going through the top menu: Setup > Users/Roles > Manage Roles > Search.

  2. Check the 'USE ADVANCED SEARCH' checkbox.

  3. Add a Standard 'Inactive' filter with the value 'NO', and click Set:

  4. Add a Standard 'Custom' filter with the value 'YES', and click Set:

  5. Click Submit

  6. Count the roles that are unlocked (those whose names do not end with πŸ”’). Alternatively, you might find it easier to count the locked roles and subtract them from the 'TOTAL' displayed in the top right corner.

Saved Search

  1. Navigate to 'Saved Searches' by going through the top menu: Transactions > Management > Saved Searches.

  2. Add a filter with a 'Public' ACCESS LEVEL:

  3. Count the searches that are unlocked (those whose names do not end with πŸ”’). Alternatively, you might find it easier to count the locked searches and subtract them from the 'TOTAL' displayed in the top right corner.

Workflow

  1. Navigate to 'Workflows' by going through the top menu: Customization > Workflow > Workflows.

  2. Uncheck the 'SHOW INACTIVES' checkbox.

  3. Count the workflows that are unlocked (those whose names do not end with πŸ”’). Alternatively, you might find it easier to count the locked workflows and subtract them from the 'TOTAL' displayed in the top right corner.
